Microsoft 365 management

Who owns your Microsoft 365 tenant?

Most companies in Southlake and Dallas–Fort Worth pay for Microsoft 365 every month. Far fewer can name the person who is allowed to change it — and the person who is responsible when it goes wrong.

A tenant is your company’s space in Microsoft 365: users, mail, files, Teams, and the security settings around them. Ownership is not the invoice. Ownership is who can create a global admin, who reviews guests, and who gets the call when a mailbox is forwarding to the wrong place.

When that role is empty, the tenant fills with leftovers: consultants, “temporary” admins, department-created Teams, and licenses for people who left.

Why this matters

Microsoft will keep the lights on. They will not know your org chart. If three people have admin and none of them is the owner, you have a committee with a blast radius.

Office managers and controllers feel this as license bills that do not match headcount, and as security questions nobody can answer without a scavenger hunt.

Common causes

  • The first setup was a project, not a job

Someone stood up email. They left. The admin password stayed in a ticket from 2019.

  • Too many part-time admins

A partner, an intern, and a former IT company all had global admin. Settings conflict. Nobody wants to break mail, so nothing is cleaned up.

  • The last MSP never handed over the keys

If you are replacing a provider, leftover admin is how they still sit in your tenant. That is a Replace your IT company problem as much as a Microsoft 365 one.

Business impact

  • You cannot be sure a change was authorized.
  • A compromised admin account is an environment incident.
  • Offboarding misses shared resources the former employee still opens.
  • Leadership cannot answer “who is the administrator?” on an insurance form or to a bank.

Warning signs nobody owns it

  • You cannot list the admins without exporting a report you have never opened

If naming the administrators takes more than a minute, the list is already stale.

  • Daily work happens in admin accounts

People browse the web and read mail as global admin. That is how a phishing click becomes a tenant problem.

  • Departments create Teams and SharePoint sites with no rule

Collaboration without a standard is how you get four homes for the same files and guests who never expire.

  • The license bill is a mystery

Unused licenses and leftover accounts are what an absentee owner looks like on an invoice.

Recommended solution

Name an administrator of record. Cut global admin to the people who need it, on separate accounts. Review guests and sharing. Put onboarding and offboarding on a checklist that actually runs.

That is the core of Microsoft 365 management — not a migration you do not need.

How 323 Technologies helps

We assume the tenant you already have, list who can change it, close leftover vendor access, and keep mail and files where they are unless there is a reason to move them.

From Southlake we stay the named owner: licenses, users, and a monthly look at whether the admin list still makes sense.

Questions

Can more than one person be an admin?

Yes. Two or three named people is healthy. A dozen global admins who also use those accounts for email is not.

Should the owner of the company be global admin?

They should be able to recover the tenant. They should not live in that role for daily mail. Separate the accounts.

Our old IT company still has a login. Is that normal?

It is common. It should not stay. Take over admin as part of the provider switch, then remove them.

Does Microsoft assign us an account manager for this?

Not in the way you mean. Microsoft runs the platform. Tenant administration is yours — or whoever you hire to own it.

Will employees notice if we take over the tenant?

Not if email and files stay put. They notice when passwords are shared and then suddenly stop working without warning. Plan the access changes.

Where do we start this week?

Export the admin roles. Mark who still works there. That list is the beginning of ownership.
