Microsoft 365 management
When SharePoint and Teams have no standard
Microsoft 365 collaboration fails quietly. Nobody’s email is down. People simply cannot find the current file, so they email a copy, and the tenant becomes four filing cabinets with the same label.
SharePoint is where company files are supposed to live. Teams is where conversations and files collide. OneDrive is a person’s draft drawer that sometimes becomes the office of record by accident.
Without a rule for where work belongs, every department invents one. That is not a training problem. It is a missing operating standard.
Why this matters
Time spent hunting for documents is payroll. Sending the wrong version to a client is reputation. External links that never expire are a security issue dressed up as convenience.
Professional services firms and multi-location companies in DFW feel this first: the work product is the file. If the file has three homes, the firm does not have a record. It has a scavenger hunt.
Common causes
Teams was turned on with no pattern
Anyone can create a Team. Abandoned Teams keep guests. Channels duplicate departments that already have a SharePoint library.
SharePoint was never given a home for each function
If finance, operations, and “shared” all mean different sites to different people, the structure is folklore.
OneDrive became the company drive
When someone leaves, their OneDrive is where the current proposal lived. Offboarding then becomes a data recovery project.
Business impact
- People waste the afternoon finding last week’s version.
- External sharing is broader than leadership thinks.
- New hires copy the mess because there is no example of “how we file.”
- A second location creates a fifth structure instead of using the first.
Warning signs
“Just email it to me” is the search function
If that sentence is normal, the library failed. The workaround is now the process.
Guests outnumber employees in some Teams
Vendors and clients accumulate. Nobody reviews whether they still need access.
Anonymous links from last year still open
A link that was convenient for a closing binder is still a door.
Nobody can draw where company files live
If leadership cannot sketch the structure on one page, staff cannot follow it.
Recommended solution
Pick a home for company work. Set who may create a Team. Review guests and sharing on a calendar. Move the office of record out of personal OneDrive.
Do this as a standard, not a weekend “cleanup” that returns in six months. Microsoft 365 management is the ongoing version of that standard.
How 323 Technologies helps
We do not redraw your company overnight. We stabilize access, then introduce a file and Teams pattern people can actually follow — department homes, sharing rules leadership can explain, fewer abandoned Teams.
The same Southlake team that resets a password is the team that knows why that library exists.
Questions
Do we have to migrate every file this quarter?
No. Put a rule on new work first. Move the messy archives on a plan so people are not lost on Monday.
Is Teams or SharePoint the “right” place?
Company records belong in a known SharePoint structure. Teams can sit on top of that. OneDrive is for work in progress, not the only copy of a contract.
What about clients and vendors who need access?
Guests are fine with an owner, an expiry, and a review. Permanent anonymous links are how you lose the plot.
Will this slow the office down?
A standard speeds people up once they know where to put things. The slowdown is the current search.
We have multiple offices. Same structure?
Yes, with room for site-specific libraries. See multi-location IT support when the tenant has to match more than one building.
Can you fix this without becoming our IT company?
A one-time cleanup without an owner returns. If you need it to stay clean, someone has to manage the tenant.
Next step
Give the files a home, then keep it.
Microsoft 365 management from 323 Technologies includes Teams and SharePoint standards — not another shared drive with a new name.
