Questions to ask before you hire an IT company in Southlake
What to ask about the help desk, backup, on-site work, and who actually picks up — for businesses in Southlake, Grapevine, and Dallas–Fort Worth.
By David M. Nieto
Hiring an IT company is easy to get wrong. The pitch sounds the same. The difference shows up when email is down on a Tuesday, or when a backup has never been restored.
We work from Southlake, on-site around Grapevine, Dallas–Fort Worth, and North Texas, and remote when we can do the work remotely. These are the questions we would want a practice or a business to ask anyone they are considering — including us.
Who picks up when something is down?
Ask who answers the first call. Is it someone who already knows your office, or a new queue every time? How long does a typical request take to get a person, not an auto-reply?
If the answer is “we have a portal,” ask what happens when the front desk cannot print and patients are in the chairs.
Will someone come on-site in Southlake or Grapevine?
Remote support handles a lot. It does not hang a firewall, pull cable, or stand in the closet during a cutover.
Ask where the technicians sit, how often they actually visit, and whether a new office in DFW means a new company. Managed IT should include a path for both: on-site when the building needs a person, remote when it does not.
Have you restored a backup, or only installed one?
Everyone says they have backup. Ask for the last time they completed a restore — not a screenshot of a green check. Ask what is covered: servers, workstations, Microsoft 365 email and files.
If they cannot describe a restore, you do not have a recovery plan. You have a hope.
Who owns security, email, and the network?
Too many vendors, slow replies, and nobody who owns the whole setup is the usual story. Ask whether logins, email filtering, devices, and the firewall sit with the same team as the help desk, or with a second company you call after something happens.
A security assessment should come back as a short list of what to fix first, with a price — not a 40-page PDF with no owner.
Do you know the software the office actually runs?
Dental and healthcare practices live in the schedule, the chart, imaging, and payments. Professional firms live in email and files. Ask whether the team has supported that stack before, including vendors like Dentrix when that is the system.
See how we work with healthcare and dental practices.
What do I get, and what does it cost?
Ask for what is included in writing: help desk, monitoring, patching, backup, vendor calls. Ask what is extra. Ask for a recommendation and a price before work starts — not a tool dump and a surprise invoice.
If you want a second set of eyes
Bring those questions to any IT company in Southlake or DFW. If you want our answers, call, email, or send the form. We will look at what you have running today and tell you what we would take on, with a price.
